Front of House Manager – Lead

Position Description
The Front of House Manager – Lead for New West Theatre is an integral part of the day-to-day operations for the organization. Reporting to the Executive Director and Office Manager, the Front of House Manager’s responsibility for the organization’s consistent achievement of its mission.

This position is a flexible, part-time position. During a production, the hours will be greater than outside of a production. Outside of our production times, there will be administrative tasks that will need to be completed such as attending to emails, signing up new volunteers, creating future sign-ups, etc.

Working Conditions
Due to the nature of the Yates Memorial Theatre, long periods of standing and the repetitive navigation of stairs will be required throughout your shift.

Responsibilities:

  • Must be punctual, responsible, flexible, accountable and provide exceptional
    customer service to all patrons, staff and vendors
  • Creating welcoming interactions, with high standards of customer service, as the
    front line of the patron experience on behalf of New West Theatre.
  • Create volunteer sign-ups through our volunteer portal and send out the invite
    email with the link to sign up to the volunteer database.
  • Scheduling and supervision of all Front of House Volunteers. Assist volunteers
    with management of shifts (signing up, removing a shift, etc.).
  • Oversee a group of volunteers from ranging from 5-12 individuals, depending on
    the show.
  • Follows all performance policies, procedures and duties as set forth by Executive
    and Artistic Management. Such duties include but are not limited to recording
    house counts, start times, end times, managing historical and archival
    documents; general end-of-day reporting, collection of raw data about patrons
    and donors to use for future marketing planning, policy and license applications
    and following general operating policies and procedures
  • Coordinate, facilitate, supervise and assist with set-up and take down of all Front
    of House materials which include, but are not limited to: tables, signage, ticket
    scanners, 50/50 and reporting.
  • Responds accurately to patron inquiries pertaining to the box office, including butnot limited to the length of show/run, performance schedules, seating inquiries, pricing, content warnings, age specific restrictions, parking, concerns regarding service charges and any special needs of patrons we will need to accommodate
  • Recruit, coordinate, train and supervise all volunteers for performances and ancillary events, ensuring appropriate coverage of all positions and adjusting schedules for no-shows
  • Ensures the security, accuracy, and documentation of Front of House revenue, including but not limited to cash in, cash out, donation collection and reporting overages or shortages, and reporting to the Executive Director of all significant overages/shortages found during the cash out procedure.
  • Create and maintain Front of House policies and procedures including audience safety, accessibility, and fire safety
  • Providing administrative support for all New West Theatre operations which includes but is not limited to: Online registration and Sales, email communications, telephone communications, liaising with patrons, maintain archival data and storage.
  • Updating and maintaining volunteer records/data through our data management system.

Qualifications:

  • Strong leadership skills and staff supervisory experience in a customer service environment.
  • Strong time management skills with the ability to manage multiple priorities at once.
  • Strong leadership skills with proven ability to problem solve.
  • Able to work independently and as a member of a larger team.
  • A strong working knowledge of Microsoft Office software and Google Docs.
  • Flexible availability, including daytime and evening hours.
  • A knowledge of, and passion for theatre and the performing arts.
  • First aid certification (Level A with CPR & AED), an asset.
    o We will help you obtain this, if you do not have it.
  • Previous experience working with Salesforce, an asset.
