Terms & Conditions
Age
Students enrolled in sessional programs such as classes and summer camps must be the age of the specific class by session start date. New West Theatre reserves the right to withdraw students who have been registered in an incorrect age category.
ALLERGIES & SENSITIVIES
Some New West Theatre students have life threatening allergies. In consideration of these students, we ask that parents/guardians please not pack any of the following in snacks/lunches for consumption: Peanuts, tree nuts, nut products or shellfish.
ATTENDANCE
Every child who attends a class or camp at New West Theatre must be registered. Instructors do not have the ability to register students. Attendance is taken at the beginning of each class and unregistered students will be directed to our website or contacted by our Education Coordinator. No refunds or make-up class is available for students who miss class.
Class Cancellation
New West Theatre reserves the right to cancel classes that do not meet minimum enrolment, and will cancel classes with an enrolment of 1 -4 students up to two weeks prior to the program’s scheduled start date. Minimum enrolment numbers depend on the classroom’s capacity and availability of materials.
Under most circumstances, cancellations will happen one to two weeks prior to the start date and families will be notified via phone or email. Students from cancelled classes may be transferred to another class gree of change. For classes with three or four enrolments, classes will run for up to two weeks plus two days, before a cancellation decision. A pro-rated refund will be issued.
New West Theatre will strive to provide a substitute rather than cancel a class in the event of instructor illness. In the case of such a cancellation, a replacement attendance date is scheduled. If it is not possible for New West Theatre to schedule a replacement attendance date, a pro-rated refund is supplied to all affected clients. No refund or make ip is eligible for students who miss class.
Fees
Applicable program fees must be paid in full upon registration. A charge of $25 will apply to returned cheques. Payment can be made by check, cash, VISA, or Mastercard.
feild trips
Instructors may lead supervised excursions off-site during class time. Parental permission is required at the time of registration.
Health & Safety
fThe health and sagety of our students, staff, and families is important to us. Students are not permitted to attend class is they are exhibiting any symptoms of a cold, flue, or COVID-19, such as fever, cough shortness of breath, sore throat, and difficulty swallowing, coughing or sneezing, or other symptoms as described by Alberta Health Services.
ILLNESS OR INJURY
Refunds will not be provided for missed classes unless withdrawal in recommended by a medical practitioner, in which case a pro-rated refund will be provided upon receipt of a doctor’s note.
LANGUAGE
For safety reasons, we ask that your child has a working understanding of English before attending classes. For students who do not have a working understand of English, please contact our Education Coordinator in advance of the class start date, so we can make the appropriate accommodations for your child.
Accessibility & Learning Supports
New West Theatre is actively working to support students with accessibility or additional learning needs. To help us create a welcoming/inclusive learning environment, please let the education team know if you child has any access or support needs for their time at New West Theatre. If your child requires an aide in school, then an adult or aide should be present at New West Theatre programs, as it will help ensure your child has a more supported arts experience.
Parent Pick-up
New West Theatre is not responsible for students before, after or between classes/camps. Parents or guardians late in picking up their students will be charge $10 per 15 minutes. Repeated lateness may lead to discharge from the class with no refund.
Program changes
Instructors and/or program content may change at New West Theatre’s discretion, without notice. Information found on our online registration system should be considered the most up-to-date. Some programs and classes may have specific requirements and policies.
publicity and advertising
Parental permission is requested at the time of registration for New West Theatre to photograph and film students and their work for advertising, publicity and archival purposes. New West Theatre reserves the right to use students artwork for exhibition at no charge.
removal for conduct
New West Theatre reserves the right to remove and student or parent who fails to comply with its policies, pr who engages in any activity deemed contrary to the fulfillment of New West Theatre’s objectives. In such an event, New West Theatre will be owed the fees for the complete session.
Withdrawal fees & deadlines
Please submit withdrawal and transfer requests in writing. Non-attendance or non-payment of outstanding fees does not constitute a formal withdrawal. In all programs, a pro-rated refund will be issued for a withdrawal if a doctor’s note is provided.
